CLC Advisory Committee Meeting Minutes

February 15, 2007; 10am
Present: Dan Pfohl, Madeleine Bombeld, Arlene Hanerfeld, and Sue Cody (UNCW); Evelyn Council, Jan Whitfield, and Matt Lawson (FSU); Carl Danis, June Power, Cindy Saylor, Jean Sexton, Susan Whitt, and Rob Wolf (UNCP).
The meeting began at 10:07 a.m.
1. EDIFACT -- FSU, UNCP, UNCW progress reports.
FSU is still having problems; information still being left out of records. It may be a problem with vendors YBP and Coutts, rather than Innovative. UNCW hasn't had any problems with records. Dan thinks it sounds like a problem with the order records, like is the data isn't being tagged properly when keyed. Betty may need to coordinate with the vendor on this; Matt suggested they implement a packet sniffer to monitor the situation. Also, Dan fixed the EDIFACT template; are individuals using the updated template? We need to verify staff are getting the proper settings and preferred template.
UNCP is using Baker & Taylor, but everything is working fine now. Susan is working toward setting up YBP.
UNCW is working fine.
2. ERM -- Progress Report.
Arlene reported that Ted Fons at Innovative was able to straighten out some problems that UNCW was having with ERM. Lesson learned: don't spend too much time trying to figure out something; it could be a problem that Innovative needs to fix. She demonstrated how using ERM was affecting searching in the library catalog and the search results. ERM is up and running and ready to use.

UNCP would like to set up a meeting to work with Arlene and Dan to make and incorporate changes in settings.
UNCP needs to create check-in records for items and then move the URL to the resource into the check-in records.
3. Cooperative Collection Development
Although this topic was briefly discussed at one meeting, Arlene would like to continue the discussion of how we can do more intra-consortium borrowing. She's working on ordering books from Choice's Best Books of 2006 list, and there are so many that UNCW does not have, and UNCP & FSU do have. The key here is to figure out how to promote and educate users on searching the consortium catalog if they don't find what they need in a scoped catalog. We spend a lot of money duplicating monographic resources, and Arlene is not sure we all need to be buying the same books. Or maybe the consortium should experiment with not scoping our individual library catalogs? She'd love to hear some discussion on that issue.
Ideas discussed included delivery service options versus regular mail and expedited mail; collecting and analyzing statistics which may reveal trends; applications and their capabilities. Also discussed was performing a collection analysis in the future using WorldCat's collection analysis tool. Potential bad budget years and crunch time ordering were also broached as reasons for looking into this shared collection development idea now. A discussion ensued that brought up ideas like results tabs for each institution, a note or prompt that comes up to search the consortial catalog (when scoped); and a note or prompt that suggests trying the consortial catalog when no results are found (i.e., custom/edit the “Your title (author, etc) would be here …. “ comment).
CLC members agreed to pursue gathering data as the interest is high regarding this endeavor. Specifically, ILL statistics will be gathered by appropriate library personnel. This topic will be revisited at the next CLC meeting.
4. FSU's ISSN/Banner ID Conversion
-- ISSN/Banner ID – Putting data on the third track is in non-changeable; need to coordinate with the 3M self-checkout.
-- Barcode field, check digit, updating for lost cards – Matt will look into the check digit and how is it translated in the system; we need to use the check digit.
-- Students converted. Staff/faculty not converted.
-- UNCP is still working on conversion; faculty and staff have been converted, but Banner numbers aren't being used.
5. Odyssey/ILLiad 7.2
-- Odyssey is document delivery software from ILLiad.
-- Implementation status; ILLiad 7.2 is greatest upgrade since ILLiad began. With the upgrade, Odyssey has to be implemented to fulfill protocols and settings. UNCW and UNCP are waiting until after spring semester to do their upgrade. UNCW and UNCP are also planning to implement Odyssey after the spring semester is over. One can set up a test environment to review desired changes before implementing. FSU is still in the testing phase of Odyssey and wants to work toward implementing Odyssey before upgrading to ILLiad 7.2.
-- Uprising against Ariel – all are continuing to struggle with the software with other applications, hardware, etc. Madeleine will bring up issue at ILLiad conference in Virginia in March.
6. Review of All Fines/Fees Schedule
-- Coordinating/standardizing fines and fees within the consortium – Madeleine has gathered data regarding a move toward another fine/fee structure, including rates of fees, time schedules, and other ideas regarding the return of books.
FSU doesn't currently charge fines, but is interested in being in the discussion or review; UNCP is interested in making some changes in the fine/fee schedule and loan rules after the spring semester. It was agreed that a working meeting will take place to discuss the options; we will look at the week of March 26 th .
7. ILL Renewal Procedures for Intra-consortial Borrowing
-- $15.00 Late Fee (processing) charged by FSU on UNCW patrons.
-- Data will be gathered regarding examples of these instances and revisited. This is another reason we need to review loan rules.
8. Billing Profile
UNCP's plan to shorten the time between last OD notice and point of billing; will be addressed in reviewing of the fine/fee schedule.
9. WebPAC Pro
-- Progress report. Dan demonstrated individual pages to show changes and updates, problems and issues, such as the My Library Record authentication page to show results of customization.
-- Decisions: Authentication Page (PIN info link), Advanced Search scope/limit issue, keep tabbed BIB display, Buttons, Search Widget, keep My Library in staff mode, keep Website (856) link on brief display, Help pages (UNCW group)
-- Next steps:
Dan will work with III to work through the scope/limit issue. Dan explained that the search widget fonts are smaller because he was trying to make the search widget smaller; he will return to normal size and continue tweaking.
Discussion of the tabbed BIB display got a consensus to keep. Sue suggested that maybe we should look into doing a usability study. Dan will work toward making consistent the label My Library to My Library Record.
Dan has worked with the Buttons to create some really nice graphics; it was agreed that he continue in creating these button sets.
Dan will undo the staff display for when faculty/staff PTYPEs are searching in their library record, and return to public display; as well, as he will create a dummy patron for FSU, UNCP, and UNCW for respective library personnel to view in the staff mode.
Dan has requested that each of us review Help Pages and provided feedback; Susannah Benedetti is leading the UNCW task force for reviewing the help pages; Cindy will be the contact for UNCP and Jan will be the contact for FSU.
Dan will remove both Website and More (if applicable) on the search results brief display page. If there are 856 links, they will appear in the item record.
Dan reported that we could generate RSS feeds from the catalog for featured items. He has masked it; but if one sees a link for “feeds ,” please let Cindy, Matt, or Dan know, as appropriate.

Dan reported that it is now possible to block patrons from accessing services and resources via authentication based on expiration dates and a set amount of fines owed. He will investigate other resources and services that can be restricted based on patron criteria.
