CLC Advisory Committee Meeting Minutes

November 13, 2006; 10:00 a.m.

 

Present:  UNCW: Sue Cody, Arlene Hanerfeld, Rebecca Kemp, Dan Pfohl (chair); FSU: Evelyn Council, Vera Hooks, Matt Lawson, Jan Whitfield; UNCP: June Power, Cindy Saylor (secretary), Jean Sexton, Rob Wolf.

 

1.      Loan Rules

Dan announced that

a.      intraconsortium borrowing by Distance Education Students has been implemented;

b.      circulation for UNCP’s Branch Music Library was implemented in August.

 

2.      Banner Update

Dan requested a report of the status of Banner implementation, automated patron loads, and One Card use.

a.      UNCW is getting patron loads from Banner. The process is working out well, except that one patron type is not able to be designated like SIS was able to do. Dan is happy with the feed thus far. The acquisitions part may take a year to a year and a half to set up.

b.      FSU is coming along although they are still waiting to switch all the students’ cards to a Banner-encoded ID rather than an SSN coded ID. The second track contains the student banking number, so the Banner number may need to be the banking number. Matt is still considering options here and is still communicating with his IT department.

c.      UNCP has moved staff only over to Banner so far. As a result, patron loads are non-existent now until IT personnel create a script to extract the data for the Library. Cindy is hopeful that the script will be created to provide a patron by start of the spring semester.

 

3.      EDIFACT

EDIFACT is a module in Millennium that allows for FTP transfer of the 13-digit ISBN when ordering. There is a bit of a setup in Millennium in order to use the EDIFACT; the vendor needs to participate in the setup.

 

Dan reported on the progress from each institution.

a.      UNCP has set up Baker & Taylor and it appears to be working fine.

b.      UNCW is working on setting up Yankee Book Peddler.

c.      FSU has set up Coutts but are having some transmission problems. 

 

Dan will confirm that Millennium will handle the longer ISBN, but he believes it will be successful. OCLC doesn’t have the ISBN in the correct field; although they will be doing a conversion of the field in November.

 

4.  WebBridge

Dan reminded that due to all the other projects going on, implementation of WebBridge is further in the future. In his conversation with Ted Fons from Innovative about WebBridge in a consortial environment, a consortial solution will cost us more money to set up. We will need it set up for the consortium so that online resources know to which institution to attach.

 

Dan announced that WilsonWeb is eager to work with us on implementing WebBridge. UNCW has one Wilson product; FSU has databases via OmniFile; UNCP has many Wilson products via OmniFile.

 

A discussion regarding WebBridge (and ERM) and the functionality ensued with highlights about each institution’s needs and capabilities. In addition, Journal Finder’s impact was discussed. Dan requested that we begin considering a list of major databases to add to WebBridge.

 

5.  ERM

After Dan provided a brief progress report for ERM, Rebecca and Arlene provided a demo of ERM including creating contacts, populating the Millennium ERM records, and doing a coverage load. Rebecca revealed an Excel spreadsheet created by Rob Wolf to assist with the coverage load.

 

6.  WebPAC Pro

Dan provided a progress report on the new Innovative product WebPAC Pro, demonstrated RightResult—a results relevance ranking option--in Advanced Keyword Searching, and showed a sampling of his work so far. He announced that there are additional modules at extra costs to WebPAC Pro, such as spell checker.

 

With RightResult, the relevance is based on an unknown algorithm. However, Arlene and Sue have determined that keywords appearing in the subject headings end up lowest on the relevance list. Dan asked that attendees review RightResult to ascertain how we feel about the types of relevance placed on the results.

 

Dan showed color options, banners being used for institutions, and buttons that are available in WebPAC Pro. He mentioned he has hired someone to assist in creating logos and other graphics. He requests that we review the buttons and logos and let him know what we like and what we don’t like. He reminded that the staging directory is available for us to review and test search results at  http://uncclc.coast.uncwil.edu:2082/.

 

Dan also asked that we review the Help pages, especially public services personnel, to decide whether we want to use them and in what ways. Not all of the help pages are working as desired. Help pages may be reviewed by logging on to My Library Record (http://uncclc.coast.uncwil.edu:2082/patroninfo) and selecting the link for either of the help pages.

 

Tabbed displays are another option in WebPAC Pro, but they are not all working at the present time.

 

Dan mentioned that he could link FSU and UNCP’s floor plans to the call numbers in the item records, should we desire. We should let him know.

 

Dan would like to have the new WebOPAC available for the spring semester, January 2007. He asks that we have the following info to him by December 1st unless otherwise specified:

a.      colors and banners from FSU and UNCP – ASAP

b.      feedback on RightResult

c.      feedback on consortial view

d.      buttons and graphics

e.      help pages

 

7.  Other Topics

Dan opened the floor for other topics of interest, such as individual requests or problems:

 

a.      Arlene – ERM, 856 link in the bib record

UNCW is moving their 856 link to the check-in record.  She would like the other two institutions to move all 856 links from the bib record to the check-in records. She believes Biological Abstracts is one that is a problem. She suggests that we create a check-in record for those databases rather than having it in the 856 field.

b.      Cindy – UNCP is having problems with Millennium freezing for no apparent reason. There is no apparent pattern to time of day, although Jean mentioned it happened more in the afternoon to her and her staff.  Since FSU and UNCW are not experiencing this problem, it must be network problem at UNCP.

c.      Dan – Reminder: please send feedback about WebPAC with a subject line as WebPAC to flag it; deadline is December 1st.

d.      Dan – The next meeting will be sometime during the week of February 12th-16th at UNCP. Dan will distribute another “call” for a meeting via e-mail to get the best date for everyone. Everyone thought that process worked well.
