Members Present: Jean Sexton, Chair; Sue Cody; Evelyn Council: Arlene Hanerfeld; Matthew Lawson; Dan Pfohl; June Power; Cindy Saylor; and Jan Whitfield

I. Call to Order: 10:20 a.m.

II. Approval of the Agenda.

The agenda was approved with the addition of item V. J. Changing Logins and Passwords to the Millennium System.

III. Approval of the Minutes of April 24, 2004.

(Agenda says April 24, 2004 and Posted Minutes says April 29, 2004) The minutes were approved via email and have already been posted on the UNC Coastal Library Consortium Policies and Procedures Web page.

IV. Old Business.

Governance Document Status: The question was raised as to whether the Governance Document had been completed, reviewed and signed by all Library Directors. Jeff Campbell had been working on this, and it was felt that he had completed it, but that it never reached Dan Pfohl for posting on the Web site. Dan will call Jeff to ask about the document.

V. New Business

A. Continued Maintenance on INNOPAC’s ILL and Reserve Modules

Maintenance is costing $480.00 per year for the ILL and Reserve modules. None of the schools are currently using the ILL module through INNOPAC. UNC-P and FSU are still using the Reserve Module. Dan would like to keep the maintenance on both. If it is dropped, there would be a cost to pick it back up. Dan wanted folks to be aware that we are paying for this.

B. EJournal holdings/Updating and Database Licensing (Update on WAM access).

With new collections that are purchased, there are holdings issues and an updating of the WAM (Web Access Management) table, or proxy server that needs to be done, so that users have access to the journals and databases. The collections purchased through the Carolina Consortium are an example. FSU has not been contributing much information. Patron types, links to the vendor or journal sites need to be entered in order to keep the table up-to-date. Dan controls one part of this process. We need to test all databases for offf-campus access and authentic links. Despite the big job, start with the biggest links, then the vendor, then the journal titles. Dan said that he would check for FSU and send Matthew Lawson a copy of the WAM table.

Arlene Hanerfeld stated that Blackwell, Springer and Kluwer bibliographic records were bought by the Coastal Library Consortium. Wiley records were downloaded, and the journal title field is being worked on. FSU and UNC-P would need to set holding is OCLC. UNC-W already has.

An e-journal update product has been bought from Innovative. It can link to ISSNs at the title level. The product is not working as of the meeting time, but is expected to be up soon. The new serials librarian for UNC-W came in September 2004 and is working on it, but it is a huge project.

There is a problem with bib records with no item records in the catalog. Some of the records are scoped “ci.” They are records that were NC Live titles. These records need to have the "ci" location code removed from the bibliographic record. Holdings list needs to be examined and scoped for the appropriate school. Some records show electronic journal title access, but student would not know by looking at record which database to go into.

G. Removing 856 links for licensed resources.

Several databases were agreed upon to remove links from the 856 Field. Science Direct is done, and JSTOR and Project Muse need to be done. Timeline for the project is immediately. Some records may want to have a link to the publisher Web site. Links would have to be in the serials check-in record for students to see. The link would be in entered into the “Library Has” field. Arlene suggested making a template and then go through and attach. A JSTOR spreadsheet could be run against the template. Could see how UNC-W does it, since we all have different collections within JSTOR. The Carolina Consortium Web pages have information. UNC-W has holdings for the IEEE journals, which need to be scoped for FSU in the catalog.

C. WebOPAC Facelift.

Dan showed an example of how the WebOPAC layout and buttons could look different and more modern, not so flat. He wanted the committee to task him to work on the redesign. He will seek assistance from the individual schools regarding their online catalog pages. He would also like feedback from public services folks on the things they like and dislike about the catalog and its display. A feature of the new design would indicate how many copies are available for circulation. The question was asked that if that level of detail can be provided, perhaps the location and call number could also be added. One problem with that may be the display of multiple copies. Wording may need to be changed. The changes work off of a style sheet, so one for the shared catalog and each of the schools would have to be designed. Another feature that links to reviews currently goes to Amazon. It was suggested that perhaps Books in Print Professional would be a better consortia choice and it is part of the NC Live databases. Dan can set up a list of features. Motion was made and seconded for Dan to undertake the redesign of the WebOPAC. The vote was unanimously in favor. Dan’s target date is to get this up before the Fall 2005 semester. It would be easier to promote then, and the summer can be used to shake out the bugs. Western Carolina and the University of North Carolina at Charlotte are using the catalog with updated features.

D. Cindy recently asked about Intra-Consortial borrowing of audiovisual materials and how we currently allow holds on locally available AV items.

Cindy Saylor stated that most places do not lend AV materials because of a fear of damage and loss and non return of materials. The statistics have not shown this to be true. Cindy wanted to know if we can do something where we lend AV materials among the consortia members. Right now, it is on a case-by-case basis among the schools. The question was asked if holds could be blocked for folks putting holds on at their own institution. UNC-W wants this feature because they deliver their materials to their faculty who place holds. UNC-P and FSU make the patrons aware that the material is available at the library. Dan said that holds are a complex issue, and perhaps the Carolina Innovative Users Group (CIUG) could ask Innovative about changes to the holds module.

E. XML Harvester.

(Innovative Brochure - XML Harvester leverages XML technology to provide an automated cataloging tool which can create library records from metadata records stored on servers anywhere in the world. The XML Harvester unifies access to different XML databases by integrating external records into the library catalog and making it a single repository for the library's different digital collections.) Arlene stated that XML Harvester has added MARC records for the iLumina Digital Library to their catalog. The possibility of harvesting records from UNC's Documenting the American South collection was discussed. The metadata is imported in and converted to a MARC record. Collections have to be OAI (Open Archives Imaging) compatible. Questions on what should be collected should be tailored to a school’s curriculum.

F. How the CLC can participate in and support CIUG.

Cindy announced that the Carolina Innovative Users Group is scheduled for May 12-13, 2005 in Charlotte and suggested that the CLC members consider participation. The CIUG conference is held so that information can be shared by the CIUG members in North and South Carolina. New officers need to be elected and the group redefined. Several South Carolina schools are III, and UNC-CH and UNC-C are III libraries. Although some CLC members are already scheduled to participate on some level, the timing of the conference falls inconveniently close to the annual IUG meeting, when consecutive days away from work are impose problems, and the end of the fiscal year, when travel money may be a problem for participants. Another suggested time was for September when III releases are usually done. Cindy will send out the proposal and information to librarians. Paraprofessional staff also attended the meetings in the past.

H. Deleting entries that appear from other institutions in the MilAcq.

The recommendations file in MilAcq pulls from the text-based INNOPAC. The three institutions access one file, taking a screen shot of it in MilAcq. The file needs to have records deleted by FSU that are older than one month and has not been approved or denied. Do not delete others records until items are a month old, and do not delete from the text-based catalog. This allows each school the chance to take their screen shot.

I. Quality Control Issues.

A graduate student is working on the UNC-W catalog for clean-up. A search was done on items with dates greater than 2005. There were a lot of journals. Retrospective conversion left a lot of records without a date in the fixed field. FSU
needs to do a create list and identify those records that are problems so they can be deleted from the catalog. Dan will send information on material type. The catalog needs to reflect consistency with bib records and material type, and cataloging needs uniformity. Serials’ cataloging has changed. It is not based on how it is published, but what it is meant to be. Other issues are that older VHS and DVD records did not have added entries for actors and directors. FSU needs to delete the 20,000-30,000 SOLINET records that are in the catalog. UNC-P had been fixing the records they encounter, but this is not addressing the major problem. FSU’s catalog also has a lot of brief records with orders that have been there for years that need to be cleaned up.

There is a Connexion workshop in March on migrating from CAT-ME.

J. Logins and passwords need to be changed and updated.

There are two security issues: SSL (Secure Socket Layers) and VeriSign Link. License costs about $400.00 per year. Dan would like to pursue this and implement prior to the end of the semester. UNC-P just changed all module logins. IT audit is coming up for UNC-W and this will be part of the security concerns. Dan will send out a message with directions on how to change personal passwords. The login will remain the same (person’s initials). Dan will work on the module passwords and logins and come up with a plan to implement by a certain date.
