Coastal Library Consortium Advisory Committee Meeting Minutes 

May 9, 2003

Sampson-Livermore Library, UNC at Pembroke

 Present:  Robert Canida, Jean Sexton, Cindy Saylor, Sue Cody, Arlene Hanerfeld, Dan Pfohl, Jeff Campbell

I.               Call to order - 10:05 a.m. 

II.             Approval of Minutes from October, 18 2002 meeting – It was determined that the minutes had been previously approved via email. 

III.           Old Business 

a.     Governance Document – Jeff reported that the updated Governance Document had not been forwarded to the library directors or Provosts.  It was decided that Sue Cody would forward the updated Governance document to the respective committee members to secure the signature of the Library Directors and Provosts.  After the signatures were obtained, the copies would be forwarded to Dan Pfohl for posting. 

b.     Multiple IP Status -  Dan reported that the work order has been assigned to an Innovative implementer.  That the next step would be that he receives a request for profiling information but there still has not been a time frame set for implementation.  

The Committee also discussed the potential problems with authenticating on campus after the upgrade is installed and decided to look into the ASP Script FSU has implemented as a possible solution to this problem. 

c.     Consortia Issues in Shared E-Resources/Branding Issues – Dan suggested that the new WAM upgrade would resolve these issues once they are in place. 

IV.           New Business 

a.     III Phase 3 beta test and consortium decisions – The following new options were discussed and decisions made regarding turning on or configuring functionality: 

MilCirc Sounds – Use Customized Sounds Manager-Controlled Options, Sounds Tab. 

         Both FSU and UNCP asked to have sounds enabled. 

MilCirc Options for Patron record display – Adjust the fields that display Manager-Controlled Options, Patron Display Tab, Custom Display

Both FSU and UNCP asked to customize the Patron record brief display. 

MilCirc Preferred Templates – also available for other Mil modules Settings, Preferred Templates Tab 

Both FSU and UNCP asked to set preferred templates.  MilCirc templates were set.  Verification with other dept. (Acq, Ser, Cat) at each institution is required before those settings can be made. 

MilCirc – view circulation parameters, autho function 373. 

Authorization was requested for Jan, Jeff, Robert, Cindy, and Jean. 

Circulation – CIRCACTIVE date.  Now set up. 

WebOPAC re-design, including new WWWOPTIONS and CSS.  Styles can be scoped. 

WebOPAC Patron record display – customize to show patron expiration date that is needed for UNC COOP Borrowing authentication.  Use style sheets to make this happen. 

WebOPAC scoped Course Reserves – incurs set up costs. 

No one on the committee saw a need to pursue this scope ability, especially as there is a cost involved. 

WebOPAC item home pick up – patron determines where to pick up item. 

The committee recommended no changes to the current set up. 

WebOPAC search statistics can accumulate for more than 10 days. 

The committee recommended the search stats be accumulated for 30 days.  The change should take place July 1 to keep data collection consistent. 

WebOPAC electronic reserves course password. 

The committee recommended to not enable this option. 

WebOPAC MyMillennium preferred searches can be keyword and/or phrase searches. 

WebOPAC WWWOPTION to set limit on number of records that can be marked.  What is the WWWOPTION?! 

The committee recommended that no limit be imposed. 

WebOPAC course reserves – sorting ability for attached records

Z39.50 – Bath Profile compliance – level 0. 

b.     IUG Highlights – Both Cindy and Dan discussed specific conference sessions that they attended.  The highlights discussed ranged from meeting sessions on create lists, statistics, and macros to setting up touch screens for Milcirc., the future of the Alpha Server technology, and the Z39.50 updates. 

c.     MLA vendor change – Arlene announced that the MLA has been turned on as a trial so that staff may become familiar with the new vendor interface and to ensure that any differences between the interfaces and search results are identified and “worked” out, if possible.  UNCW will pay for the product and then bill UNCP and FSU the appropriate amount. 

d.     III’s Ejournal Access – It was announced that UNCW has purchased III’s Ejournal Access manager.
