Advisory Council Meeting

May 12, 1998

Wilmington, NC

The meeting was held at Randall Library, UNC Wilmington, and the following members were present: Lillian Brewington (UNCP), Bob Canida (UNCP), Jean Sexton (UNCP), Dan Pfhol (FSU), Sue Cody (UNCW), Arlene Hanerfeld (UNCW), and Ron Johnson (UNCW).

Agenda and summary of discussions:

1. Approval of November 20, 1997 meeting minutes.

The minutes were approved.

2. Cataloging of Electronic Resources - guest speaker Ruth Roazen, Head of Cataloging, UNCW

Ruth delivered a presentation on cataloging electronic resources. She attended OCLC's institute on cataloging electronic resources and presented several recommendations concerning collection development, cataloging, and maintenance issues for cataloging web sites in a consortial environment. This generated a great deal of discussion and the committee voted to make the following recommendation to the Consortium Council:

It was pointed out that the directors are meeting next week, but they do not comprise the entire Consortium Council. The committee voted to send the following recommendation to the Council:

II. Web Access Management Software: pros and cons

Dan had some questions about the authentication of patrons, and Ron mentioned that a soon to be released software upgrade will allow authentication by patron type.

III. NC LIVE--Subject Access, Title Access, etc... (NCLIVE in general)

The committee discussed UNCW's plans for redesigning the "Links to other resources" page. The question was raised concerning how we want to work as a consortium to continue the discussion of the redesign. Dan suggested setting up an electronic conference, Arlene suggested email would also work, and Ron suggested using test main menus during the redesign that won't be linked to our current site during the test phase.

IV. Future of SearchBank databases and server

UNCW has cancelled their Infotrac subscription effective June 1, 1998 and has asked for a credit for the June-August 1998 portion of their subscription. FSU and UNCP will also be cancelling their subscriptions. Arlene will notify FSU and UNCP if UNCW receives a cash credit.

V. Congressional Universe & EB Online and their future (BILLING ?)
VI. Cancellations of overlapped electronic resources

Items V. and VI. Were discussed as one topic. Ron reported that ULAC and it's Automation & Networking Committee had recommended continuing the UNC system's subscription to EB Online. UNCW and FSU have subscribed to Lexis/Nexis Universe, and all three institutions are interested in continuing the consortium's subscription to Congressional Universe. UNCW will be billed for the renewal and will then bill FSU and UNCP for their portion.

VII. Reference Questions via the WebCat

This option is installed on the Consortium's main menu. UNCW is using the feature and Ron offered to set it up for FSU and UNCP. There was discussion concerning the setup and what was required at each site.

VIII. Procedures for Adding COOP borrowers to patron database.

Dan mentioned that he was getting errors for duplicate patrons because procedures for registering COOP borrowers were not always followed at UNCW. He reported the types of errors to Sue and she will follow up to be sure our staff register these borrowers correctly. Discussion of the problems associated with borrowers enrolled at one or more of our institutions raised the issue that we needed to start acting like a consortium and initiate more cooperative borrowing policies. There was discussion of the impact of scoping on cooperative borrowing and the possible impact on collection of fines and fees. The committee voted to make the following recommendation to the Council:

Consortium Council to explore implementing Patron Initiated Consortial borrowing for faculty, staff and students of each UNCCLC institution.

IX. Setting up BIB/ORDER load tables

Dan asked if existing Bib/Order load tables could be edited to include some of the 900 fields used for Yankee and Blackwell electronic ordering. He will pursue this with Innovative.

X. 1999-2000 Advisory Officers

Bob asked the committee to be thinking about new officers to be elected at our fall meeting, which will be held at FSU.

XI. Additional Comments, Issues, or Concerns

Bob asked for clarification about the Reference Question feature on the Consortium's main menu.

Arlene asked everyone to assist in keeping Create Lists files available. With annual report time approaching there will be a big demand for files of all sizes. If files aren't available and there are existing files that do not indicate institution, initials, and date, it was agreed that these files may be deleted to make room for new ones.

Sue mentioned that she was having trouble determining the origin of suggestions coming from the 800 statistical group. Ron said things were not supposed to be accumulating at the 800 group and he would try to determine the cause of this problem.

Arlene shared information from the IUG meeting about reindexing the database. Reindexing may not be too expensive and is recommended for sites installed since release 7. Reindexing would fix things like subject searches with punctuation, e.g. C++, and would provide subject access to genre headings. Ron recommended waiting for release 12 because there would be a new getting started manual available and we might get some other ideas for reindexing from the new manual.
