2. OPAC decisions for Release 10: Our system displays order records till a cat date is put in the order record. In release 10, we can specify a number of days after the order has been received for the message "x copies being PROCESSED for <location>" to display. After that number of days has passed, the Order record will no longer display in the OPAC. The Advisory Committee elected NOT to change our procedures in this regard.
3. With release 10, for newly created item records, we can specify a status message that displays for a certain number of days after the record has been created, for example, "JUST CATALOGED" could display for x days before the status is automatically changed to "AVAILABLE." The Advisory Committee elected NOT to change our procedures in this regard.
4. In release 10 we can specify that call numbers displayed in the browse screens be displayed with capitalization, spacing and punctuation as they are in the record itself. The Advisory Committee decided the consortium WILL initially institute this change, but if the display is not satisfactory, we will ask III to revert the display to the older way. The Committee would like to see the display on our system before making a final decision.
5. In release 10, we can specify that relator codes in subfield 4 of entry fields be translated into English, to display Bernstein, Leonard, conductor instead of Bernstein, Leonard, cnd. The Advisory Committee decided the consortium WILL institute this change.
6. In release 10, we can allow patrons to place their own bookings from the OPAC. Since the system allows patrons to adjust the "book till" date, and patrons could book items for the entire semester (or century??), the Advisory Committee elected NOT to allow self-booking by patrons.
7. Release 10 allows library to automatically charge patrons for "Request an Item" transactions. The Advisory Committee elected NOT to institute such a policy.
8. In Release 10, we could purchase additional scoping locations and add scopes for certain material types. The Advisory Committee elected NOT to purchase additional scoping locations, since this feature doesn't do anything that we can't already do by limiting searches.
9. For bibs with no order or item records, but which have a call number or location in the bib, we can simulate the item record box in the OPAC display with a message indicating the status of the title, such as "WITHDRAWN." The Advisory Committee decided the consortium WILL NOT institute this change.
10. We will be able to include Link references (gopher, ftp, http, images, etc) in the item record box for records having such links. Currently such links display as part of the bib record with the label E-LINK, and are not necessarily on the first screen of data. The Advisory Committee decided it would like to see this display in our own system before making a decision on this matter. The general feeling is that the change is not necessary.
11. The system will TIMEOUT from the View Your Own Record function to the main menu after a time we specify in release 10. The normal OPAC time out is 5 minutes. Currently View does NOT time out at all! The Advisory Committee elected to institute a 2 minute TIMEOUT to the mainmenu from View your own Record, if it can be a separate TIMEOUT. But if it has to be the same TIMEOUT as the normal OPAC TIMEOUT, we will leave the system default at 5 minutes.
12. The System Administrator noted that authorizations to delete record from within update function can be specified separately, as can the kinds of records which can be updated, in release 10. When we get this feature, each library will have to revise the authorizations for their staff.
13. The committee chairman noted that the GD SCAT table had not yet been completed, but that FSU documents staff continue to work on it. They will send a copy to Arlene Hanerfeld at UNCW for review.
14. The System Administrator noted that Inventory Date had been added to the Boolean search capabilities for the item record, as requested by FSU.
15. The consortium had asked III to adjust our load table to protect the 856 field. To do so, we would have to protect all Innopac tag "y" fields, or remove the 856 from the load table entirely. Neither of these possibilities would satisfy our needs. Arlene Hanerfeld of UNCW noted that in Release 10, MARC subfields, instead of Innopac tag groups, can be individually protected, and we will ask for this protection of the 856 subfields when we are upgraded to the new release. In the meantime, Arlene reminded catalogers of the Consortium Database Maintenance Guidelines, which say that any overlaid record MUST retain all the enhancements made in the record being replaced.
16. Arlene emphasized that the UNCW editing of ERIC records has concentrated on records for journals held by UNCW. PSU and FSU cataloging staff should add ISSN's, correct inconsistent journal title abbreviations, and make other editing changes to ERIC records links to the holdings of these two libraries.
17. The Advisory Committee elected to ask Innovative to disable PIN's in the webpac.
18. The System Administrator noted that we need to establish procedures for keeping the text-based and web-based library information screens in sync, as this is not an automatic process. He noted that UNCW duplicated the "changing" screens on its library web pages, and provides an HREF to these pages on the web's library information screen, so that we have to update the web data in only one place. More and more such HREF's are being moved to the Consortium's NT Server, which has directories for both Fayetteville and Pembroke html files. The System Administrator will be sending FSU and PSU staff instructions for ftp-ing files from and to these directories on the NT server. Responsibility for learning how to write html files, however, rests within each institution.
19. The E-mail (field "z") of the patron record has been made a protected field, so incoming files of patron data will not overwrite existing E-mail addresses. Our system allows us to send notices via E-mail by inserting an E-mail address in the patron record.
20. The Advisory Committee considered a subscription to Encyclopaedia Britannica On-Line, with links to/from our webpac. Both FSU and UNCW have agreed to subscribe, but PSU must seek the permission of their director. This feature was demonstrated during the webpac demo. Lillian Brewington of PSU agreed to send Arlene Hanerfeld fall '95 enrollment figures for that school.
21. The Advisory Committee discussed uses for the Consortium NT server provided by UNC General Administration and recently installed at UNCW. Committee members agreed that each school should help pay for needed upgrades to the equipment UNC-GA provided, such as a UPS, a tape backup, a maintenance agreement with DEC, and additional disk drives, all of which are needed.
22. The system administrator reminded the committee that it is the responsibility of each library to let his staff know the dates for days closed, the normal schedule of operation for each term, the exceptions to the normal weekly hours, and the date on which a schedule takes effect. This information must be provided every term. Additionally, it is the responsibility of each library to let the system administrator know when it wants the new EndOfTerm loan rule to take effect.
23. The committee decided to table until after Dr Lucker's presentation of recommendations to UNC-GA Emmet Lombard's suggestions for greater serial cooperation between libraries. Dr Lucker will probably recommend an off-site storage facility for older journals for the entire university system with guaranteed access to all journals via photocopy and fax, and such a development would change the need for collection development and intra-consortium sharing of journal resources.
24. The committee discussed their visits and discussions with Dr Jay Lucker, the UNC-GA library consultant.
25. Sue Cody, UNCW, passed on a suggestion from one member of her staff on changing the
menu wording for "Connect to Other Databases." The suggested change was viewed as
inaccurate, inadequate, and too long. The committee will try to develop an accurate and
comprehensive phrase that is easily comprehended by the public.
